Digital VIP Ticketing at the TruckScout24 EHF FINAL4 2025

The Challenge

EHF Marketing GmbH faced the task of fully digitizing VIP ticketing for the final weekend of the Machineseeker EHF Champions League in the LANXESS arena. Seven VIP areas, hospitality zones, and individual booking paths, as well as 2,500 VIP guests, had to be managed efficiently and centrally.

The central challenges:

  • Complex VIP structure with 7 distinct areas and hospitality zones
  • 2,500 VIP guests to be onboarded and managed
  • Different booking paths per partner and guest category
  • Need for paperless, fully digital logistics
  • Centralized data and access management across multiple teams and vendors

The Solution: Passcreator and eventpage.ai

Together with eventpage.ai and Passcreator, a comprehensive digital solution was developed that met all of EHF Marketing GmbH’s requirements and set new standards:

  • Digital spaces and central management via eventpage.ai
    • eventpage.ai mapped all VIP zones as digital spaces and enabled centralized seat allocation and real-time guest management.
    • The eventpage.ai ticket portal ensured transparency and control in the distribution and administration of tickets.
  • Individual wallet passes with Passcreator
    • Passcreator generated tailored wallet tickets for each target group that could be stored directly in Apple Wallet or Google Wallet on the smartphone.
    • Personalized layouts and branding of the wallet passes provided a premium guest experience.
    • The digital tickets (wallet passes) were personalized based on the information from eventpage.ai.
  • Efficient check-in and seat management
    • Guests could easily check in using a QR code with their wallet pass.
    • The Passcreator Smart Scan app enabled fast and secure admission to the respective VIP zones.
  • Automated ticket allocation
    • Using CSV import functions and bulk ticket creation via the API between eventpage.ai and Passcreator, it was possible to generate and assign tickets retroactively. Through mapping, custom ticket numbers from the CSV file could be adopted and uniquely linked to the respective VIP guests.
  • Ticket scanning
    • Simple check-in by presenting the wallet pass in the VIP zone
    • Fast, straightforward scanning with the Passcreator Smart Scan app
  • Analytics and segmentation
    • Dashboards and reports provided an at-a-glance overview of check-ins and guest segments at any time.
